hotel management software User Manual

Our "Hotel Management Software" is useful for Accommodation Providing Small, Medium and Large Scale Hotels to Manage their Customers & Staff Effectively.

This software having all the required modules for Hotel Management. Those are

  • Bills & Payslips Module

Dashboard Module :This Module Shows overall statistics of the hotel in Graph chart, Bar chart and percentages.

In Dashboard Page we have 5 sections.Those are

  1. Previous and current year customers comparison (Month wise Customer Count) Graph chart.
  2. Previous and current month customers comparison (Date wise Customer Count) Bar chart.
  3. Last Year & Current Year Monthly Customer Collection & Staff Salary Paid Details.
  4. Hotel Management Software Demo Videos on Different Languages like English, Hindi, Telugu, Kannada etc.
  5. Veevar Softwares Other Products like School Management Software, Hospital Management Software etc.

Rooms Module :This module helps you to Manage your hotel Rooms, Beds and Prices.In Rooms Page we have 4 tabs.Those are

Add Room :In this Page we will add the all available rooms of the hotel.These Room details are

» Room Number (We should not add the same room number twice)

» Room Type

» No.of Beds

» Room Price

» Deposit

Manage Rooms :In this Page we can Manage all the Room Details what we added Already in "Add Room" Section.

So here we can "view" the Room Details by clicking on 'eye' icon, edit and update the Room details by clicking on 'pencil' icon and delete the Room details by clicking on 'x' icon.

Filled Rooms :Here we can see all filled Rooms of your Hotel.

Available Rooms : Here we can see what all Rooms are Available for Customers at present in your Hotel.

Customers Module : This is the module we are using for complete Accommodation details of the Customers.In Customers Page we have 5 tabs.Those are

New Customer :In this Page we need to add the customer details.Those are

» Full Name

» Gender

» Contact Number

» Email Id

» Id Proof (Aadhar Number)

» Address

» Check in Date

» Check out Date

» Room Type

After Select "Room Type" you will see selected type all Available Rooms in "Room Number" Dropdown.

Example : If you select 'A/C' then you will see All Available A/C Rooms in "Room Number" Dropdown.

» Room Number

After Selecting Room Number(s) from "Room Number" Dropdown the selected Room(s) Deposit and Price will automatically display in "Deposit" and "Price" text boxes.

Manage Customer :In this Page we can Manage all the Customer Details what we added Already in "New Customer" Page.

So here we can "view" the Customer Details by clicking on 'eye' icon, edit and update the Customer details by clicking on 'pencil' icon.

Today's Checkin :This tab will show the Customer(s) details who all are "Check in" today.

Today's Checkout :This tab will show the Customer(s) details who all are "Check out" today.Here we will do the Customer Checkout Process by clicking on "Right Exit Arrow" icon.

Advanced Booking :This Page will show all Advanced Booking Customer(s) List.

So here we can "view" the Customer Details by clicking on 'eye' icon, edit and update the Customer details by clicking on 'pencil' icon and delete the Customer details by clicking on 'x' icon.

Note : While Adding new Customer in "New Customer" Page by Selecting one or more days in Advance those Customers will Show in "Advanced Booking" Customer(s) Tab.These Customer(s) will automatically come to "Manage Customer" tab if the "Check in" Date is matched with today's Date.

Example : You are adding a customer today with customer "check in" date is tomorrow or day after tomorrow etc..

So this customer will show in "Advanced Booking" tab instead of "Manage Customer" tab because the check in date of customer is Tomorrow's or day after tomorrow's etc..

This advanced Booking Customer will automatically come to "Manage Customer" Tab if the "Check in" date is matched with Today's Date.

Staff Module : This module is used for "Hotel Staff" Management.In this Page we have 3 tabs.Those are

New Employee :In this page we need to add all the requested details of the employee.The details of Employee are

» Full Name

» Gender

» Qualification (If the Employee Qualification is not showing in Dropdown click on "+" icon beside Qualification Label to add the new qualification)

» Designation (If the Employee Designation is not showing in Dropdown click on "+" icon beside Designation label to add the new designation)

» Contact Number

» Email Id

» Address

» Id Proof

» Joining Date

» Salary

Manage Employee :In this Page we can Manage all the Employee Details what we added Already in "New Employee" Section.

So here we can "view" the Employee Details by clicking on 'eye' icon, edit and update the Employee details by clicking on 'pencil' icon and delete the Employee details by clicking on 'x' icon.

Employee Salaries :This Page will use while Paying Salaries to Hotel Employees or Staff.

Example :If Management wants to pay salary to some employee for that first select the employee from "Employee" dropdown

then the details of the selected employee will automatically displays in "Employee Details" section.Next Fill the requested details those are

» Total Working Days

» Paid Days

» Pay Date

» Paying Amount

» Deduction Amount

» Reason for Deduction

Bills & Payslips Module :This Page have Two Sections.Those are

Customer Bills :In this Page we will see all the Checkout customer Details.For Generating Bill for any customer click on "Rocket" icon and enter Tax/GST and submit.

then the system will automatically Generates Customer Bill PDF for Download and Print.

Employee Payslips :In this tab you will see all the salary paid Employee details.For Generating Employee Payslip click on "Rocket" icon.

then the system will automatically Generates Employee Payslip PDF for Download and Print.

Reports & Backup Module :This Page have two Tabs.Those are

Customer Report :In this page you will see all customers list from starting to till now.Here you can filter customer using checkin date and download the filtered customers into Excel file.

Customer Backup:By using this tab you can Export the selected Date Range Customer complete details into Excel sheet and you can keep those sheets as offline backup.

Employee Report :In this page you will see all Staff list from starting to till now.Here you can filter Employee using joining date and download the filtered Employees into Excel file.

Employee Backup:By using this tab you can Export the Staff complete details into Excel sheet and you can keep those sheets as offline backup.

Support Module :Here We can Raise ticket about any issue if you have found in your software.This Page has two tabs.Those are

Add Ticket :By using this tab you can Raise a ticket to veevar softwares support team about your issue if you have found any in your software.The support team will respond As Soon As Possible and immediatly starting working on the issue to fix it.

Manage Tickets :In this tab you can update the details and also you can check the ticket status.The ticket status will automatically update by veevar softwares support team.
